Create a template

  1. Go to Templates in the sidebar.
  2. Click New template.
  3. Fill in the template details as described below.
  4. Click Submit for approval.
WapNotify sends the template to Meta for review. Status updates to Approved or Rejected within minutes to a few hours.

Template name

Enter a name using only lowercase letters, numbers, and underscores — no spaces. This name is used internally and in the Meta Business Manager. Example: order_shipped_notification

Category

Select one of: Marketing, Utility, or Authentication. See templates overview for guidance on choosing the right category.

Language

Select the language for this template. If you need the same template in multiple languages, create a separate template for each.

Header (optional)

Choose a header type:

For media headers, upload the file. The same file is used every time the template is sent — you cannot change it per send.

Body

The body is the main message. Write clearly and concisely. To include variable content (customer name, order number, date, etc.), insert numbered placeholders:
Hello {{1}}, your order {{2}} is confirmed and will be delivered by {{3}}.
Each {{N}} placeholder is filled in at send time. Keep variable usage to what’s genuinely needed — overly variable-heavy bodies are more likely to be rejected.
Provide a sample value for each variable when submitting. Meta reviewers use your samples to evaluate the template. Use realistic examples, not “test123”.

Buttons (optional)

Add up to three buttons:

After submitting

The template status shows as Pending while Meta reviews it.
  • Approved — the template is ready to use in conversations and broadcasts.
  • Rejected — Meta declined it. The rejection reason is shown. Fix the content and resubmit.
Common rejection reasons:
  • Body contains a URL that belongs to a different business
  • Template appears to be spam or promotional while categorised as Utility
  • Missing variable samples

Sync from Meta

If you created or updated templates directly in Meta Business Manager, sync them into WapNotify:
  1. Go to Templates.
  2. Click Sync from Meta.
This pulls the current status and content for all templates associated with your WhatsApp Business Account.
