# Invite your team

> How to invite team members to your WapNotify workspace, assign roles, and manage access.

Every person who uses WapNotify in your workspace needs an account. Admins can invite members, assign roles, and deactivate accounts.

## Invite a team member

1. Go to **Settings → Team**.
2. Click **Invite member**.
3. Enter the person's **name** and **email address**.
4. Select a **role** (see [roles and permissions](/admin/roles-permissions) for what each role controls).
5. Click **Send invite**.

The invited person receives an email with a link to set their password and log in. The link is valid for 24 hours.

  Invited users inherit the permissions of the role you assign. You can change their role at any time from **Settings → Team**.

## Built-in roles

WapNotify includes two system roles that cannot be deleted:

| Role      | What they can do                                                                 |
| --------- | -------------------------------------------------------------------------------- |
| **Admin** | Full access — settings, billing, team management, all conversations and contacts |
| **Agent** | Access to conversations and contacts based on role visibility settings           |

For most teams, Agents handle day-to-day customer conversations and Admins manage configuration.

## Custom roles

If you need finer control — for example, a role that can view analytics but not send broadcasts — create a custom role.

1. Go to **Settings → Roles**.
2. Click **New role**.
3. Name the role and toggle permissions on or off for each module (contacts, conversations, broadcasts, templates, leads, analytics, settings).
4. Set the **visibility scope**: what conversations and contacts this role can see.
   * **Own** — only records assigned to themselves
   * **Team** — records assigned to anyone in the same role group
   * **All** — all records in the workspace
5. Optionally enable **Share with peers** so agents with the same role can see each other's conversations.
6. Click **Save**.

## Manage existing members

From **Settings → Team** you can:

* **Change a member's role** — click the member row and update their role
* **Deactivate a member** — removes their login access without deleting their conversation history
* **View last login** — useful for auditing inactive accounts

  Deactivating a member does not reassign their open conversations. Go to **Conversations** and reassign any open chats before deactivating someone who is leaving the team.
